ArcoMage Discord Bot — Privacy Policy

1. What data we collect

The ArcoMage Discord bot ("the Bot") collects the minimum data necessary to provide its features. Specifically:

• Discord User ID — a numeric identifier Discord assigns to every account. Used to assign roles, track moderation events, and link Kickstarter backers to their Discord identity.
• Server (guild) ID and channel IDs — used to direct messages and apply role configurations to the correct server.
• Public profile data Discord already exposes — username, discriminator/handle, avatar URL, server-specific nickname, and roles. We never see your email or phone number.
• Message content — only when a message is flagged by AutoMod or a moderator command (e.g. /report). The Bot does NOT log general conversation.
• Kickstarter backer linkage — if you redeem a backer code via the Bot, we store the mapping between your KS email/order ID and your Discord User ID so we can grant and revoke your backer role.

2. Why we collect it

• To assign and revoke server roles (especially Kickstarter backer tiers).
• To respond to moderation events and prevent raids/spam.
• To send automated welcome and onboarding messages.
• To diagnose and fix Bot bugs.

3. What we do NOT do

• We do not sell or share your data with third parties for advertising.
• We do not log general message content.
• We do not track your activity outside the servers the Bot is installed in.
• We do not store voice-channel audio or video.

4. Third parties

The Bot operates inside Discord's infrastructure and necessarily transmits the data above to Discord, Inc. — see Discord's Privacy Policy. The Bot does not transmit your data to any other third party.

5. Retention

• Moderation logs (flagged messages, AutoMod hits): retained for 90 days, then deleted.
• Role-state cache: retained while the Bot is in the server; deleted within 7 days of the Bot being removed.
• Backer linkage: retained for the lifetime of the Kickstarter campaign fulfillment, then deleted on request or after 2 years of inactivity.

6. Your rights

You can request a copy of, or deletion of, any data the Bot holds about you by emailing admin@arcomage.org with your Discord User ID. We respond within 30 days.

You can also remove the Bot's access to your data at any time by leaving the server or asking a server administrator to remove the Bot.

7. Children

The Bot is not directed to users under 13 years of age. Discord's own minimum age is 13 (or older in some jurisdictions). If we discover that an account belonging to a user under 13 has interacted with the Bot, we will delete that account's data on request.

8. Changes to this Policy

We may update this Privacy Policy at any time. Material changes will be announced in the official ArcoMage Discord server.
